Video transcript

It’s been a while it’s been a while I wanted to jump right in yeah I wanted to jump right… that’s right… oh yes, how are you mina?

I’m good how are you?

I’m good. It’s good to find you in this meeting very cozy today okay do we want to talk about why we’re here what’s the what’s what’s the purpose of us being here yes with our our users and Yes. Current users and prospects.

Good point. So this is our recurring, it’s monthly appointment for us. We come live on LinkedIn and we talk about us. You know, typically in our communication, we talk about things that happen around us. You know, Salesforce a lot, AI, Agentforce, all of this fun stuff. Today we talk about us and we take this opportunity to explain what we do, who we are, and especially drumroll, new solutions that we’re about to launch.

And today is a big one. I’m super excited. Yes. And I think this is the one that you would be trying the first time in today’s demo. So you would probably have a lot of questions. So the story is that we have these brilliant ideas and they, Mina especially, and all her crew, they disappear. and then they come back and say oh yeah we have it ready we should do a LinkedIn live and I’m like yeah what is it oh no you’ll test it live so today all of us you guys watching and me included will be trying for the first time our field agent.

So we’re going to give thirty seconds introduction what is field agent. Then we’re going to do a demo and I’ll throw things at it. Yes. Right. So I’ll try it from scratch. Okay. And then you’ll explain to us how it actually works. Right. Okay. Perfect. Perfect.

So how did we start making… The idea came from actually Luca, who does not like updating Salesforce. He does not like creating leads. He does not like creating opportunity. He does it with a very bad mood, I would say. And he’s like, no, why do you? I need three cups of coffee to update an opportunity. And then sometimes I think it piles up and he does it at the end of the week. So it’s interesting. I have a little story on this as well. So Mina asked me, how long does it take you to… create an account and then associate an opportunity to it with a couple of contacts. And I said, well, you know, probably, well, three minutes to do that. I said, I don’t know, six minutes, seven minutes. Right. So very. And she said, I think it’s more like an hour. And I’m like, no, no. I mean, you know, don’t exaggerate. I mean, obviously we’re saving time with Vinton… I said, no, no, no, no, no. Because whenever we ask you to update your Salesforce, then you start complaining. And that’s probably five minutes. Five minutes. then you don’t feel like it. So you stand up and you go and grab a cup of coffee and come back with a coffee. And then while you’re at it, you’re about to start and then your mobile phone vibrates and you’re looking at it and like, okay, so you scroll a couple of things, you check a couple of things on LinkedIn. Open your notebook that all comes to an hour so yeah fair enough so how do we save an hour to so what we’ve built now is that Luca’s day has gotten so much better. Now Luca can just go and talk to his Salesforce and create a lead for example or update an opportunity.

So for example if you go to your Vinton tab or or let’s let’s let’s do it live are we going live yeah yeah let’s do it okay I’m sharing my screen uh where’s my where’s my screen Yes. Screen share. Entire screen. Am I sharing this screen? I am sharing this screen. They also took me to a new org. That’s my org. QA. We’re still behind the scenes. Treat this as a proper preview. We’re going behind the scenes. We are looking at a beta version. And we have good old vinton is ready but for this I actually want to share with you sorry my oh that was my my daughter there um I I want to do it from um a mobile phone so my oh I don’t think you guys are seeing the right screen. You’re definitely not, so let me do that again.

Share screen, entire screen. Nice. Now. We go to your mobile. Okay. So this is my mobile. There it is. Okay. Mobile phone. You asked me to set the scene, right? So you went to an event. You met somebody. Now you have to create a lead. So you’ve taken notes. What do you want in a lead? The name, last name, email address, the description of how you met. So a few details that you want to add into a lead and drop it in Salesforce. So what I need you to do is now imagine that you just left the event. You’re in your car. No, I’m still at the event actually. I’m still at the event and I have a business card that the person that I just talked to left with me. What am I going to do? I’m actually taking a shortcut all the way into. I’m actually going to my Vinton app. Correct. It’s empty because I haven’t recorded anything yet. I’m going to talk to my Vinton. Voice note is what I’m creating.

“Okay, I just met with Sarah Smith. I have her business card here with me. And she is from a company called Acme. And Sarah was very interested in understanding more about our Vinton technology and dating Salesforce automatically, all of that. She said that Acme has a four hundred total users of Salesforce. So it’s a fairly large organization. and they predominantly do video calls and in-person meetings as well. She said they’re looking into the AI note-taking area and she would be interested in probably connecting us with the right person on her side to continue the conversation. This Manchester summit is revealing to be very, very productive for us.”

Yes, I could see you urging me to finish it. This gives you an opportunity to see our voice notes in action from mobile as well. A fifty-five second voice note might I add to that. Now, we go to Salesforce. What is happening now? What’s happening is that we’ve taken all of the information. This is the one that you created just before, so we can just go do this. Should we look at that? This is a lead that we’d created just once, one minute. The reason why we were one minute late. We were testing. If you go to Field Agent tab over here, you see and you click on Smith, the little arrow next to Smith. This lead and go to Details, so this lead was automatically created by Vinton with the information that you had set in your voice note. So you can see the name, you can see the name of the company that you’d mentioned, then a little bit of description of what the lead is about. So now you dropped a fifty five second voice note in Salesforce.

Then that did all of your work, so the lead is created um you can set up a meeting with the lead or convert it now so there’s like no that totally makes sense but so you’ve you’ve basically prepared some rules in my you know in my Salesforce that make it such that whenever there is a voice note like this one and it describes this type of correct it’s picked up automatically and yeah to create a new again so for for for now because we were we were testing it and we were going to go on a demo we we thought that you would just do a fifty second lead with just this information but we can fill all of these fields that you want you see on screen it’s just a matter of us defining it on the admin panel and you can for example go and say I met with Sarah, this is her phone number, this is her title, the number of employees, the lead source, where did you get from, all of that can be configured and it can all be converted into Salesforce CRM data just through your voice now.

Nice. Explain the reason for this slight delay. So right now, because what happens is the first meeting is process. The first what we do is the note, sorry, the notice process. That’s the first step. Exactly. So that’s the first step that we do that probably everybody knows about by now. The second step, which is on top of it, is our field agent. So it has a minute delay because that process is kicked off after everything is processed. And we have just added a delay of one minute to make sure. So after the first processing, there is a bit of a buffer time. Exactly. So we’ve added a buffer time to be extra careful. On the safe side. Yes, to be extra careful. And obviously, this is a… What is it called? A beta version. Oh, I think this is actually the one that we just created. Look at the time. So I was checking whether… So this is the new one that was created. And details are being captured. So it’s slightly different from the one that we tested one minute before going live. But you can see it actually carries the whole… Sarah Smith is from Acme, potential lead interested in Vinton technology, automatic Salesforce updates, four hundred Salesforce users, video calls and in-person meeting. That’s exactly what I said.

And this is all coming from now we will have the new exactly… so this is the one that we just that we just recorded. And as you were indicating, this is capturing the last name, which is the crucial one for the lead creation. Right. The company name, just Acme, just a very generic. But this is great because then immediately I have a new lead created and then just, you know, Just so that we don’t forget why we exist, we’ve also created a follow-up email. And this was actually available in thirty seconds after I recorded it. You know, I can actually copy-paste, hey, really enjoyed talking about, you know, hearing about Acme, focus on video calls and in-person meetings, how we were exploring AI notes. This is my follow-up. I can follow up there and then. Next step is probably connect with the right person at Acme. That’s my next steps there. And then ultimately, exactly what I said. Now, this is really what we’re focusing on. But it does not just stop at the first stage of your sales process. So you’ve created a lead. Now we can go into an opportunity and see how it can help you update an opportunity.

And there I’ll stop you for a second because I want everybody following and looking at this video to kind of take a step back and think about what field agent is, right? So first of all, it’s a play on words, right? It’s an agent for your Salesforce fields, right? So you will pick information from voice notes, like in this example, from conversations, you know, meetings and voice and video calls and update automatically your Salesforce. So what is important is that it’s designed to do three major impactful automated actions in your Salesforce. First one, we’ve just seen it, create a new record. Very easy, it creates a new record. We have a couple of clients that actually brought us to building something like this that have a customized way of capturing visits, client visits. They love to talk to Vinton and say, create a new visit. Today I met with Sarah and we discussed this and this. Create a new record. Also, when you’re saying that it’s not just limited to standard objects because we’ve created a lead, you can create a custom object as well. We’ll see that later on in configuration as well, but the world is your oyster.

You can create whatever you want. And then you were saying you can also update existing records, which is probably where we expect the biggest impact because we all have a lot of records and we’ve spent a lot of time actually working on making relevant information fields across our records. So we want to update one. And you were saying that’s also where Vinton can go? Yes. So if you could open an opportunity which has… So let’s go… This one? Yes, let’s go there. I think you indicated this one earlier. So… So yeah, the story started with a lead. So I think it probably, if I scroll down, I will see the lead that was created before. Then it progressed, and this is actually you dropping post-trial. So what happened was with this opportunity, we’re at a point, we had an initial call where we had an initial discovery session with the team. So you can see that, oh, it’s opposite. So you can see this is the initial discovery call that I had. If you could please scroll this because it’s opposite. So you can see that this was an initial discovery call. Now what we’ve configured is that from an initial discovery call, we need to get four things, which is the BANT framework, which is budget, needs, authority, and timeline. So if you could see, we’ve configured it to get that information out and populated after a call.

So you can see that budget, it says modified by Vinton Field Agent on this date. So it took all of that information from the call that happened between the customer and the sales rep and put it in these fields. This is banned, then you can have another one that can be configured for Medic, for example. Yeah, we have value selling, we heard Miller-Hyman. Of course, all different methodologies. So you’re saying this is Field Agent in its prime moment, right? So there’s an actual conversation, right? So if we go back, sorry, this scrolling is killing us today. If we go back here and we look at the transcript.

So this is a conversation between you and Sarah. Yes. And you’re, you know, you’re qualifying basically the opportunity, right? So you’re saying, okay, so how many licenses do you need? What do you guys do? You know, what have you tried before? All of those things. And you’re trying to qualify because you’ve been trained to use the BANT methodology against budget, need, authority. Exactly. And also this is like maybe a thirty to forty minute call and you don’t have the time to go over the transcript or the notes and everything. What you as a manager need, if you’re working on the opportunity or you as a person who’s going to take over this opportunity, you just need if they have budget what’s their need what’s like after this stage the important things that you need to know about it are on the field so you don’t have to necessarily scroll through the summary text and all of that if you don’t need to right so overhead you would get all of that information and so if I go to field agent we see exactly what was updated so the budget the need and this is again back to what you were saying earlier about the the rules uh that you’ve defined right because you said um I can set my rules and make sure that yes you know whenever something happens like there’s a new video call for instance and it’s related to a specific context early stage discovery call, then these rules are applied.

Now, one thing that you were telling me that is super exciting about Field Agent is that it doesn’t only use the information from the latest call. But the breakthrough step change thing compared to what we had before really with Vinton, which is always been really focused on that conversation and trying to extract as much information from the conversation. it is actually contextualizing it to the pre-existing information that is in the record. And we can see some of that here, right? Because there is a reference to what was there before, right? So there is a reference to what was part of the record, you know, all the fields that are in the record are summed up and presented alongside the new conversation. Yes. Again, this is up to you as as an admin or as a sales manager to decide what information should be in your opportunity. So, for example, when it comes to budget, you might want to have the latest one in the field from the latest conversation that you had. But for For example, you want to have to know who maybe there was there are three people. So you want to keep track of the evolving situation rather than just having a new summary created. Correct. And you can compound then or aggregate. Yes. It’s your choice.

This is all to be experimented. I can’t wait to have our clients play with this. So this is the first example where we had a call and the notes updated, the fields updated for band after a video call that we had, which is classified as an initial sales calls where most of the conversation about budget authority or need or timelines occur in the initial sales call. So every time you have an initial sales call that classifies that criteria, those fields would be populated and it would be appended on top of it. Now, the next scenario is that you had a meeting with someone and you forgot to record it. Or maybe you were at a place where you had Not all important updates happen on a recorded conversation. So that totally makes sense. So that’s what you did there, right? So you recorded a voice note. Yes. Maybe we could try one. So imagine that this is an opportunity that you worked on. It’s in this stage. You had a conversation with someone and now you want to update, let’s say, the stage. Yeah, that’s exactly what I think our overview.

So the idea here is we had a lead at an event. That lead followed a conversation. There was a discovery conversation. From the discovery conversation started the trial. Then you have the trial is effectively undergoing. This is where we are at. um the stages needs analysis probability forty percent number of licenses fifteen because that’s what we’re uh discussing about and what I want to do now you know let’s actually place ourselves in that story I’ve received a phone call from the CRO Rachel and Rachel has just gotten the feedback from the trial users and she’s super happy so we are trying to bring that update I actually talked to Rachel. And I’m ready. So the expectation here is that I talk to my Salesforce and my Salesforce is up to date with what I say. Let’s do it.

“Okay, I just got a phone call from Rachel and she said, hey, Luca, we are good to go. You know, the trial was very successful. We want to move ahead. I need you to send me a proposal by the end of this week. I need to see all the technical details in there and I need it actually to be for a hundred licenses.”

So this actually means that my opportunity is now upgrading to proposal. I have a new number of licenses and I’m super excited to involve Mina to help me with the technical details that need to be in the proposal. So this could be the very exciting voice note that I drop in my Salesforce. Now, you’ve picked up where we are in the story and you’re following with us. So lead, qualification, a trial. So they’re experimenting internally. And now the CFO is calling me and she’s saying, look, I think we’re ready to go. The trial was successful. let’s go ahead and deploy but for a hundred I think I said a hundred I think we can always see the trust so I can see what you said so very much like what was happening before we have an immediate efficiency productivity impact of vinton which we know well we know that it’s helping us to keep our you know thoughts in place it’s helping us with the follow-up right hey rachel following our call it’s great news that the trial was successful I will send you the proposal next steps are already you know created I need to send a new proposal I need to include a hundred licenses and I need to involve mina for technical details and actually while I’m at it I can invite mina to help me out uh on on this shadow because I can assign this to her and say mina I need your help uh where is it mina I need your help um please send the tech specs for this client. I don’t need to add anymore because it’s already contextualized to the opportunity where it’s happening. It has a due date actually. I’ll change the due date. I need it today. Where is today? There. I need it today and send this.

Now, Mina, we’re using tasks in my organization, so she will actually receive a notification. It will be fully contextualized and it’s great. Sorry, before we go on, I think we have a few questions that we should look at. No, no. I know you’re super excited because this is the first time you’re seeing it. I want to refresh this page. Okay, I want to refresh it just yet. Okay. Okay, sharing the screen. This is interesting. If the note is missing some required field to create the lead, will the user get a notification? Or if any other validation rule ran and as a result of the lead was not created, will the user get notified? That’s a very good question. So what happens is, in both scenarios where you are creating a duplicate account, Salesforce does not let you create a duplicate account because you can’t create the same account, for example, with the same email address and same with lead. If any validation tool fails, you would see an error on your field agent.

So right now, for example… Should I scroll? I’ll scroll for you. So right now, for example, over here, if you scroll down into the last one and open the field agent tab, or the field agent. Over here you’re seeing that the fields have been populated, but in some scenarios you might get an error which would be because maybe you had a field that was required to create a contact not configured in your configurations for field agent. Then that would fail this and then you would get a notification over here saying the processing has failed and then you can go back and check what happened. Because we have created everything to perfection in this org. Because we’re only creating the things that actually work regarding our org. But a lot of orgs we understand have a lot of validations on what should be created.

Should we see if… what we just recorded can you refresh the page please so I’m refreshing and let’s see if we have a validation broken and we need to so I’m refreshing so refreshing the page what we are expecting is the um opportunity to be actually updated you can see that a new tab has actually appeared here and if you’re actually smart enough you’ve seen already that or if you’re not smart if you have good eyesight you can see that the stage has been updated to proposal the probability therefore follows that the the number of licenses is also updated and then there’s a very new a brand new conversation note right here and that’s actually all thanks to field agent because field agent has picked up on uh on that conversation and has acted accordingly and you can see that here right so what field agent updated is the conversation notes because that was the rule the number of licenses because we set it to so the stage and it tells you that it was in needs analysis now it jumps all the way to price proposal and then we have a new a new stage update reason as well, because that’s how we set it up, right?

So this was previously positive feedback of a review in the demo. And now we are beyond that because the prospect actually has confirmed that the trial was successful. And also one thing to note that these fields we’ve configured it to append. So because this is conversation notes, so it is a note of all the conversation that you’ve dropped. So you can see the conversation note that I dropped before as it is underneath it. So it’s appended over there with its timestamp and date stamp. In this case, it’s only date stamp for this. The band. So the qualification have not been touched. Yes because that is contextualized to discover exactly right so the rule says oh actually we’re running out of time that’s what I was going to say I think we also have a question about configuration so I think we should go to the admin panel we have you drive the admin no I need to drive because you’re I scroll the opposite way yes so where do I go is so easy that if I tell you how to do it right now I’ve never seen it and I’m really excited so you would like instantly especially in this I go to Vinton yes and then look first time that I open this and then we go to field agent oh there’s a new thing so you can see that we have rules defined over here so for example if you could go to the opportunity one if you could click on the second one This one? Voice note.

Okay. So that’s the one I used just now, right? Exactly. So first we have configuration. First we ask you which action type. If you click on drop down, do you want to create a record? Do you want to update an associated record, which could be the record that’s linked to a call? This looks easy enough for me. There are three scenarios. You want to create a new one, update an existing one, or create. Then the object API name is opportunity. We can’t really select this because we’re editing it. But if you were creating a new one, you would have list of all the objects, standard and custom. Also the previous step. You select all the objects that are available. Yes, correct. I can in standard and Standard and custom. So you get all the objects that are in your org. You get a list of that. You select one. Then we have to understand which type of meeting you want this to run. So you want this to be… Probably the fault will be all meeting, right? So I don’t care if the update happens on a video call or on a voice note.

Or we can specify… Depends. For example, voice note update that you just did. You selected a voice note because these are the things we expect you to update when you’re dropping out. dropping a voice note, right? So I select the meeting type, I select the, oh, template. Yeah, so we have templates already. Now, we don’t want this to run for every voice note that you drop in the org. Some could be to create an account, some could be to create a lead, some could be to update an opportunity. So over here, we have defined… So you’re saying we don’t want to confuse the AI because internally, we are having an internal conversation about a project or a client. We don’t want to confuse Vinton that it needs to update…

Although it would be faster, right? You’ve just defined it where it needs to go first instead of having that fast. So if I’m talking to a client and I’m in negotiation with the client, this is the rule that you need to apply and update my record, okay? So we’ve selected this would be an opportunity update template, which we’ve defined a template that this would be defined as an opportunity update. Somebody’s coming in, dropping a note, maybe. Yeah. updating a stage or anything we have a whole thing on templates I think yes yes which is you know still very very popular and then we have uh three options over here so we as you know we can manually assign the calls which means after you’ve dropped a note you go into assign records and you can assign a call or a note through that uh first process and you assign it to a record So a contact, an opportunity, again, an account, a custom object. Exactly. So that’s manual assignment. Then there’s the first time that the call is processed, and then there’s reprocessing, where we give you an option to reprocess the call after. This one is immediately, as I drop it, on first processing, I need you to apply the rule, go and update. Exactly. You can select all three of them if it fits your use case.

For this one, because you were just dropping a voice note, it was for I clicked on next. Now these are the stages that you can see that we’ve updated. Because it’s already in the field. We are in the record that I selected. Yes. We set the rule and these are the actions. Exactly. Because it’s an agent, so it acts on our behalf. You can see that we’ve defined conversation notes, stage update reasons, which is a custom field. Conversation notes is a custom field. Stage name is a standard field. Number of license is also a custom field and probability is inactive because uh that gets updated automatically so for example if you click a new field you’ll see how easy it is for you so this is how you define… Okay so you pick a field and it could be the field type and this is you know all the fields that I have available very nice and you can select a description could be then the prompt is where you really yes prompt it so you say look you know I want you to create a quick description of yeah the description it is and then you define I need it to append to the previous description keep the previous description as it is add a line divider add a new description oh that’s right of course that’s what you were saying earlier right. So you either merge all the information from the record the previous information and the new information or you keep it. Yes. So I have a history of everything or you prompt it to it so you can create a log so you can say that this is the log of everything that happened so keep the previous information as it is or you can say create a summary of the latest information and give me three lines so good questions here I think they’re asking if customers uh as customers we would create the templates for each object well you would create effectively the rule for each object and then for each field a little prompt that says this is what I’m expecting to see here right so the BANT example was this is what I’m expecting for budget is there budget assigned to this project define if that was discussed.

The way the templates work is that uh we have we had a feature called templates and we launched it I think months ago, the way template works is you have a call. You define that this is what the conversation would be like in a sales call. Should we show it? Yes. It’s here. It’s in AI prompts. So these are the templates. And I think you created one that we- Opportunity Update is the one that you have. So you can see that in Opportunity, in any template, you define a name for it, you define the context when this set of rules that fall in the template would apply, and then you define the rules.

So in our case for Audio note, I think it’s all default, but you can customize it and create your own so that you’re basically instructing Vinton to understand the context of the conversation and use that understanding to apply certain template. And then if you connect the template to a rule, then the the record will be automatically updated as well have we run out of time I think so we’re not out of time if you have five more minutes and also we can close the loop on this beautiful thing and and like I think he mentioned about fields and big lists which we missed so we understand the field that you configure so if it’s a big list we understand that it’s a big so how do I do that so here no you don’t have to do anything if you select for example Stage. Close date. We understand that this is a date field, so the output that we would return would be date. It’s pre-formatted to feed. Exactly. Otherwise, you’d get an error. That’s a validation rule that we’re asking before. Otherwise, you will get an error. So if it’s a date, then we would verify if it’s a date or not. If it’s a picklist, we’ll see all of the values that are in the picklist and which one suits the best with the note that you’ve dropped. So all of that is being handled in our backend.

So you don’t have to worry about defining what the output should be like. You just have to define a prompt and tell us what you want the output to be. So what you want. extracted out of the meeting or a voice note. Now, the other good news that I will add to this is that we have the expertise to support our clients that, you know, for the first time start to build this type of thing. This is a relatively advanced one. It’s very intuitive once you see it and once you start playing with it. But, you know, conceptually is a major step forward, you know, passing by the templates and that’s exactly where we onboard our clients. We’ve done an amazing job thanks to Mina and the rest of the team. Even when you start, if you’re a small organization which does not have a lot of meetings, you can skip templates. Templates are not mandatory. So you can say for every call that comes into the system, fill these fields for this object. Give me a summary. Exactly. So you don’t have to necessarily define templates.

The reason it’s a best practice to do that. When I say best practice, I think… You probably start to have something… a lot more relevant especially if you run something that is quite niche and dedicated then you really want to control the type of information that I would personally because the way we’ve designed it I would recommend that you define templates but it will work even without it yeah well as a matter of fact a lot of our clients don’t have templates um and they use you know perfectly their summaries out of the box and the next steps and the follow-up um you know email that is created uh fantastic I think we’re way over time we we we are uh oh my god yes uh I think we’re is it ten minutes over time so what um what’s the next step so what is happening with this you know how are we treating it what’s what should our clients and prospects expect so this is something that will be live in our next release as you know our release because this release will go out in spring which would be end of April so this would be a part of that we might share this with Luca and some of our so Priority number one. Luca. In my demo, right? In his demo. Please, please, please. Priority number two. Actually, Nick would say priority number one is in our official Salesforce, which as Mina accused me of at the beginning, is not exactly kept up to date. This will help a lot, making sure that our Salesforce is where it needs to be. And then a demo will allow me to get as excited as I am right now during a demo with our clients. Our demos will go on for two hours now because there’s so much to show. I will need to find a way to streamline it. But yeah, but we will reach out to some of our customers who requested it from us, and then we would share an initial beta version with them so they can start using it, give us feedback, and that feedback will incorporate it into the design.

I have to say that the feedback that we received from our clients that started using Vinton is what drove us to build Field Agent. This way and to have a relatively first, you know, kind of initial take at it. So we’re pushing it out as it is right now. There are many things that we’re building on it. Some of the things were in the questions today. Some of the things will come out as people start to use it. But our clients have been amazing in providing feedback, and we are sure that they will be amazing in testing this and giving us hints and so maybe the version that we’ll actually push in a month time will be completely you know and the version that’s coming up next it has so many things that field agent would just look like one thing that we’re building so we’re building a very we’ve we’ve improved the product in so many ways we probably need a couple more LinkedIn lights to well I think Some of those updates are already here because the layout was slightly different. I’ve seen a couple of things.
