How do I invite Vinton to join a meeting?2026-02-05T16:09:31+00:00

There are several ways to include Vinton in meetings and it depends on the setup chosen by your Salesforce Admin.

We recommend using the individual notetakers where users can connect their calendar to Vinton and choose when Vinton should join calls.

You can also use our Ad Hoc invitation feature.

Alternatively, your Org could set up an org-wide email address for Vinton and Vinton will attend meetings only when it’s specifically been invited as an attendee.

Where can I find the recordings and notes that Vinton takes?2026-02-05T16:10:19+00:00

Your Salesforce Admin will add a Vinton component to your Salesforce object layouts for Contacts, Leads, Opportunities and so on. For any attendee to a meeting, if there’s a matching email address in Salesforce, Vinton will automatically add the recording, the transcript, the notes and so on, directly against that Contact or Lead. If the Contact is attached to an Opportunity, Vinton adds the notes there too.

Users can also use the Vinton Library to find all of their recordings. The Vinton Library can be added to your navigation items for easy access. From the Vinton tab you can view all of the meetings and huddles that you participated in, or were invited to, when Vinton also attended. You can also see all the audio notes that you’ve created.

You can watch recordings again, view meeting analysis, coaching tips and see all of the data captured via Vinton from your calls/notes.

During the configuration and setup of Vinton or our other applications, a secure connection is made between your Salesforce Org and our media backend. Audio and video files are stored securely in an AWS S3 bucket, separate for each customer. Video recordings do not affect the storage space used in Salesforce.

Customers also have the option to store media files in their own S3 or Azure storage. Alternatively, customers can choose to back up their files in their own S3 or Azure storage.

You’ll need the Nativevideo platform which powers Vinton. In order to make use of the Meeting Assistant functionalities on video calls, you’ll need to be using Microsoft Teams, Zoom or Google Meet for your video meetings. No, you can still use Vinton to join, record and transcribe your calls even if you’re using one of the free versions of video conferencing tools Teams, Zoom and Meet.

No. We have enterprise agreements with OpenAI and Gemini and as part of that agreement, they do not use the data we share with them for training purposes.

You might be concerned about exceeding your standard storage space in Salesforce by saving recording video meetings and audio in your objects. But there’s no need to worry. For all our solutions (except for our Free Nativevideo), we store your files in AWS with a secure connection between AWS and your Salesforce Org. So the video and audio recordings do not affect your Salesforce Org data storage. We also compress video recordings too.

No, the Vinton bot does not need to connect via OAuth to join the call and record your Zoom meetings, and thus no authorization is required.

Vinton doesn’t just record video calls, but also enables users to add voice notes, botless notetaking, in-person meetings and phone calls. Vinton summarises meetings and notes, drafts follow-up emails, automates the list of next steps, and stores all this valuable information directly against the relevant records in Salesforce.

Vinton allows meeting recordings and notes to be shared when appropriate.

You can customise the AI prompts, add keywords related to your business that the AI will recognise correctly each time.

Vinton is native in Salesforce so all the text data generated from calls is stored where Agentforce can use it to derive insights for your business.

Do I need a unique email address to use Vinton for call notetaking?2026-02-05T16:12:52+00:00

If your Salesforce Admin has set up your Vinton instance to use an org-wide email address and not individual notetakers, then yes, Vinton operates with a specific assigned email account so that it can be invited to join calendar meetings and join as a participant in a scheduled call.

This needs to be a standalone account with access to its own calendar, not an alias, nor a shared inbox.

We recommend using something like: vinton@[insertyourdomain] or notetaker@[insertyourdomain]

We offer different transcription services with Vinton. The custom dictionary is available with the default service, Deepgram. This enables you to add company or industry-specific words for more accurate transcriptions. 

Other transcription services that we offer currently do not support a custom dictionary.

Vinton’s transcription capabilities are powered by both AWS and Deepgram services, each offering support for a diverse range of languages to cater to our global user base.

Transcriptions are typically available immediately with AWS, while Deepgram may take a couple minutes longer due to its asynchronous nature.

AWS transcription services provide extensive language support, covering major languages such as English, Spanish, French, German, Italian, Portuguese, Chinese, Japanese, Korean, and an array of others. This enables real time transcription across various linguistic demographics, ensuring that Vinton is accessible to teams worldwide. See the latest and most accurate language offerings.

Deepgram offers transcription services in multiple languages, prioritizing accuracy and context. While it excels in English, additional language support includes widely spoken languages such as Spanish, French, as well as others like Hindi, Japanese, and Russian, covering a significant linguistic spectrum for diverse transcription needs. It depends on how Vinton has been set up in the Org.

For Orgs using Individual Notetakers, users should follow the setup instructions to connect their calendar to Vinton.

Users can also use our “ad hoc” invitation feature to add Vinton to meetings.

If the Org is using the org-wide email address to invite Vinton to meetings, the only action required on the part of the users is to invite Vinton to the same meeting in the calendar. In your Org, Vinton will have a dedicated email address with related calendar. Vinton joins the call, if invited, and can be admitted by the attendees when the call starts.

Vinton is natively integrated with Salesforce. Video Calls, Phone Calls, In-Person Meetings, Scribe Meetings and Voice Notes are saved in custom objects as part of the package and provide all the flexibility and customisation of any native object in Salesforce.

Calls and related notes are automatically added to the participants’ records in Salesforce (Internal Users, Contacts, Leads) and to their related records (e.g. Accounts, Opportunities, Cases, any custom object).

Transcripts and generated text can be customised to be added automatically to specific fields (e.g. populating “Next Steps” in an Opportunity), notifications are sent from Salesforce to the users participating after each call (if Admins have set this up), with the summary of the call, the next steps, and a link to the related Salesforce records. Call recordings are also visible in the Salesforce Mobile App.

Vinton comes with default prompts for Title generation, Summarisation/Minutes, Next Steps, Follow-up email drafting, Coaching and Sentiment. These default prompts are tried and tested and provide excellent out-of-the-box results. Vinton’s prompts are flexible and can be modified (Org-wide edits) to cater for specific needs and requirements in terms of contextualisation and output format, ensuring the best and most appropriate output is always generated for the evolving needs of organisations and their processes.

Vinton is integrated with the latest OpenAI non-reasoning model via an Enterprise API subscription. We have built our infrastructure with a flexible approach, and a different OpenAI account can be plugged to perform the Generative AI tasks related to summarisation, extraction of next steps and follow-up email drafting. So if you have your own OpenAI enterprise account that you wish to connect to Vinton, you can follow the instructions here.

We also give users the option to select Gemini as their LLM.

If you’ve encountered a problem you can’t solve and need to give us access to your Org, navigate to your User Settings, then under Personal Information find Grant Login Access, and provide access to Nativevideo Support by selecting the desired number of days.

For Vinton to record and transcribe calls, you need to assign Nativevideo and Vinton permissions to standard users. There are also other permission sets that must be created and be assigned to users. For admins, who can modify or update Nativevideo configurations, assign Nativevideo, Vinton, and Nativevideo Admin permissions. This page explains how to set up the permissions.

In production, in addition to following the standard setup steps, you also need to assign licenses to the users. This step is not required in the sandbox environment.

In order to create sharing links, you need to set up a public share page first. Follow the instructions here.
Once set up you’ll see the share icon or the share link in your Vinton tab or Vinton player component.

Why is Vinton not joining my calls?2026-02-05T15:14:14+00:00

It depends on the setup of Vinton in your Org.

For Orgs using Individual Notetakers

Users should go to the Vinton tab and from the top right hand corner of the Vinton tab choose the setup cog. Check that Vinton is connected to the user’s calendar and check the specific settings for how Vinton should join meetings.

For Orgs using an org-wide email address

For Vinton to join a call, Vinton needs to be invited to your meeting so that the meeting appears in Vinton’s calendar. Vinton relies on the calendar schedule to participate.

If the calendar invite is updated, Vinton will adjust and join at the new scheduled time.

If you need to add Vinton during a call, you must edit the calendar invite and add Vinton from there for it to recognize the meeting. Vinton is designed to join two minutes before the scheduled meeting time. If you join earlier than scheduled, Vinton won’t be aware and, therefore, won’t join until 2 minutes before the scheduled start time.

If you have a call scheduled that no one joins until late, Vinton will leave after waiting for 10 minutes (this is variable based on the meeting platform you use) on the call. For example, if you schedule a call for 4 PM and don’t let Vinton in by 4:10 PM, it will exit the waiting room, assuming it’s not needed on the call.

To ensure Vinton can participate, please ensure the meeting invite is properly scheduled on its calendar.

If a user joins a call before the start time, and admits the notetaker, then leaves the call, Vinton will also leave and not rejoin.

Who receives the email notifications sent from Vinton? Do clients get those as well?2026-02-05T15:11:55+00:00

Admins can enable or disable email notifications.

Admins can configure email notifications to go only to the host of the meeting.

We only store media files in our AWS S3 bucket if the customer has not opted to store them in their own custom AWS S3 or Azure storage. We delete insights from our media backend right after sending them back to the customer’s Salesforce org.

A notification can come from the user connected to our backend system, but if you want a dedicated email address to send Vinton notifications, we recommend setting up an “Organization-wide” email address for Vinton. Follow instructions here.

Yes of course. Vinton is the only native AI Notetaker for Salesforce, which means that all data is Salesforce data and thus reportable in Salesforce reports and dashboards and in the context of related CRM records.
