The AI notetaker market is booming, with an overwhelming number of solutions promising to capture, summarise, and organise conversations.
Meeting notetaking was one of the earliest applications of AI in the workplace, and for a good reason. Manual note-taking is tedious, time-consuming, and prone to error. AI-powered automation aims to eliminate these issues, allowing users to focus fully on their conversations while ensuring that important details are never lost.
However, while many AI notetakers claim to offer seamless Salesforce integration, the reality is often different.
We tested 14 AI notetakers to see how well they actually work with Salesforce, and the results were mixed. Some tools delivered basic functionality, while others provided barely any integration at all.
Here’s what we found.
The Landscape of AI Notetakers
AI notetakers can be categorised in several ways:
- General-purpose: Some are built for broad use for anyone, anywhere.
- Role-based: Some focus only on sales teams
- Platform-specific: Some are built exclusively for Salesforce users
- Industry-specific: Some cater to specific industries such as healthcare or law (we didn’t include these in our testing)
Some tools only handle transcription and summaries, while others extend into revenue intelligence and conversational analytics. Some AI notetakers are built exclusively for video calls, while others support phone calls, in-person discussions, and even audio notes.
Regardless of their differences, all AI notetakers share one common goal: capturing conversations rich with business insights.
However, the key question remains. How effectively do they transfer those insights into Salesforce?
What We Tested
We evaluated 14 AI notetakers (including Vinton) to determine their Salesforce integration capabilities. Our focus was on three key areas:
- Call Recording & Transcription
- Salesforce Integration Quality
- Agentforce Readiness
We tested:
- Avoma
- Circleback
- Colibri
- Fathom
- Fireflies
- Leexi
- Otter
- Read
- Salesroom
- Sybill
- Tactiq
- tl;dv
- Winn
- Vinton
1. Call Recording & Transcription
All tools we tested transcribed and summarised the meeting. However, the quality and depth of the data and insights varied significantly:
- Some recorded both video and audio; others captured only the transcript.
- All tools provided summaries, but their length and accuracy varied widely.
- A few allowed reprocessing calls using different AI templates, but most did not.
- Surprisingly, none of the tools except Vinton added the full call recording, transcript, and insights directly in Salesforce.
- Most notetakers merely added a link to their own platform within a Salesforce note, forcing users to switch between tools to access their meeting data.
This lack of true Salesforce integration makes it difficult for teams to centralise data and maximise the value of their meeting insights.
2. Salesforce Integration: More Hype Than Reality?
While many AI notetakers claim to integrate with Salesforce, the actual functionality often falls short:
- Some tools didn’t sync to Salesforce at all, despite claiming integration.
- One tool required daily reauthorisation of the Salesforce connection, making it unreliable.
- Several gated their Salesforce integration behind premium tiers, preventing users from testing it in a free trial.
- Most tools simply dropped a long summary into a Salesforce Note, Event, or Task. While better than nothing, this method doesn’t structure the data in a way that Salesforce can use effectively.
- Some tools allowed mapping of data to Salesforce fields, but often only to a single object, meaning important insights were still missing from related records.
3. Agentforce Readiness: The Next Frontier
As businesses prepare for Agentforce, Salesforce’s AI-powered digital workforce, the importance of having high-quality conversational data within Salesforce cannot be overstated.
However, none of the notetakers we tested (except Vinton) are truly Agentforce-ready. Most tools keep transcripts and insights locked within their own platform, limiting Salesforce’s ability to use that data for AI-driven automation. Without
full conversational context stored in Salesforce, organisations will struggle to build the next generation of AI-powered workflows.
Einstein Conversation Insights: The Salesforce Benchmark
Salesforce’s own AI notetaker, Einstein Conversation Insights, should, in theory, be the gold standard for Salesforce integration. However, it comes with several limitations:
- Limited functionalities: compared to the range of notetakers in the market
- Complex setup: Requires additional configuration and customisation
- High cost: Requires expensive Einstein for Sales licenses for all users
- Limited adoption: With Agentforce on the horizon, Einstein for Sales is no longer a priority investment for many Salesforce customers
As a result, businesses looking for a usable, cost-effective, and comprehensive AI notetaker are turning to third-party solutions.
Why Vinton Stands Out
Unlike other AI notetakers, Vinton is built natively within Salesforce. This means:
- All meeting data (transcript, summaries, insights) is stored directly in Salesforce, and even the recording is playable from within Salesforce
- No need to switch between platforms: everything is accessible within your CRM
- AI-powered summaries, next steps, and draft follow-up emails are added directly to Salesforce records
- Supports all meeting types: video, phone, in-person, and voice notes
- Fully customisable: bring your own AI, templates, data model, and storage
- Agentforce-ready: provides structured conversational data in Salesforce for AI automation
Because Vinton is a native Salesforce solution, it doesn’t need to maintain its own database infrastructure so it’s more cost-effective than other AI notetakers.
Vinton ensures that all conversational insights are truly part of your Salesforce ecosystem.
The Bottom Line
Not all AI notetakers are created equal, especially when it comes to Salesforce integration. Many tools promise seamless connectivity but ultimately store critical insights outside of Salesforce, limiting their usefulness for AI-driven workflows and automation.
If Salesforce is your system of record, you can’t afford to have fragmented meeting data. Vinton is the only Salesforce-native AI notetaker that fully integrates meeting data within the CRM, making it ready for Agentforce and beyond.
